Information Use
The National Council of Negro Women, Inc. is the sole owner of the information collected on ncnw.org. NCNW collects personally identifiable information from our users at several points on our website.
Registration/Log-in
To use the exclusive member areas of the website, you must complete a registration form. When you register for the member area of the website, you are required to provide your name, e-mail address, as well as choose a user name and password.
To use the section and affiliate leaders of the website, you must have a user name and password that’s provided to you from NCNW. To obtain a user name and password from NCNW you must complete a registration form which will request your name, section or affiliate name and number, mailing address, phone number and e-mail address. We use this information to verify your membership, and then send you an e-mail with your user name and password. The user name and password must be updated annually.
Optionally, you can provide us with demographic information which we use to market to our members and to develop demographic statistical data about our membership base, which we may share with sponsors and advertisers. This statistical data in no way identifies individual members. It is simply a compilation of data submitted by individual members.
Application Forms
If you become a member, we require that you provide the following personally identifiable information: first name, last name, address, email, birth date, phone number, credit card number/type, CVV2 number and expiration. This information is necessary to process your membership or donation and to contact you if we encounter any problems.
If you purchase a gift membership, we require that you provide all of the above information as well in addition to the gift recipient’s name, address, and email. This information is necessary to process your gift membership and to contact you if we encounter any problems.
If you donate online, we require that you provide the names/address of any honorees that you’re making a donation in honor of or in memory of, in addition to your name, billing address and credit card information. This information is necessary to process your donation and to contact you if we encounter any problems.
When you submit an event, article or press release via our online forms, we require that you provide the following personally identifiable information: first name, last name, membership number, section/affiliate name/number, phone number, and email address. We use this information to verify your membership status, to contact you if we have any questions or concerns, and to publish your event, article, or press release on our website.
Similarly, if you fill out the change of address, bad address, name change, deceased, phone number change/addition, or email change/addition forms, we request your member number, section/affiliate name/number, full name of requestor, and the information necessary to process your request for each respective form (new address, new name, deceased confirmation, new phone number, new or additional email etc.) We use this information to verify your membership status, process your request, and to contact you if we have any questions. We also store all member updates in our membership database for record-keeping purposes.
Mailing List
f you wish to subscribe to our mailing list, we ask for your name, e-mail address, state of residence, interests, e-mail format preference, membership status and how you heard about NCNW. All but your name and e-mail are optional. We use this information to send you NCNW news and announcements and to learn more about your interest to help guide our services.
Tell-a-Friend
If a user elects to use our referral service to send one of our Web pages to a friend or to recommend our Web pages to a friend, we ask for the user's name and e-mail address as well as their friend's name and email address. We request the names and e-mail addresses of people who send referral e-mails via our Web site, so their friends can see and trust the source of the e-mail. We also request the recipient’s name and email address, which enables us to send a personalized email to the recipient. The recipient will receive an initial e-mail inviting them to join our mailing list. If they do not respond to this one-time e-mail they will not be added to our mailing list and their e-mail will not be used again. NCNW stores the names and e-mail addresses entered in our referral service forms solely to track the success of our referral program.
Log Files
Like most standard Web site servers, we use log files. This includes internet protocol (IP) addresses, browser type, Internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks. We examine log files to analyze trends, track and evaluate traffic to our Web site, and gather broad demographic information about our Web site users. Overall, log files help us evaluate, modify, and improve our online marketing strategies. IP addresses, etc. are not linked to personally identifiable information about our users. We use DeepMetrix, a Web traffic reporting utility to track and analyze our Web site traffic.
Cookies
A cookie is a small text file that is stored on a user’s computer for record-keeping purposes. We use session cookies to make it easier for you to navigate our site. A session ID cookie link the information we store in cookies to any personally identifiable information you submit while on our site, but expires when you close you browser.
Communications from the Site
Mailing List
Members who subscribe to our mailing list receive NCNW news and announcements. Subscribing to our mailing list is, of course, optional, and we provide a way to terminate subscription to our mailing list. Please see the Choice and Opt-out sections for more information.
Tell-A-Friend
NCNW will automatically send the friend a one-time e-mail inviting the requestor’s friend to visit a specific Web page on ncnw.org.
Customer Service
When members register to access the member area of the website, we will send them welcoming emails to confirm their user names and passwords. IN addition, when a member joins, renews, or donates, they will receive a purchase receipt via email. Information Sharing & Disclosure
Third Party Intermediaries/Agents
We work with Saturn Corporation and The Intersoft Group, Inc., to fulfill orders submitted through our website (memberships/gift memberships, renewals, donations, roster requests, member information updates) and to key the information into our membership database. However, NCNW processes all joins, renewals, and donations. Saturn is prohibited from retaining, sharing, or storing members’ names and information in any other way besides the aforementioned purposes.

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process served on our website. Choice/Opt-out
Users who no longer wish to subscribe to our mailing list may opt-out of receiving these communications by unsubscribing to our mailing list. Directions for unsubscribing to the mailing list are included in the communications that mailing list subscribers receive from NCNW.

Ncnw.org contains links to other sites. NCNW is not responsible for the privacy practices of other sites. We encourage our users to read the privacy statements of every Web site that collects personally identifiable information. This privacy statement applies solely to information collected by ncnw.org.
Security
The security of your personal information is tremendously important to us. When you enter personal information (such as your address and credit information) in our join, donate, and renewal forms, we encrypt the data using SSL technology.
Although we follow generally accepted industry standards to safeguard the personal information sent to us, no method of transmission over the internet is 100% secure. Thus we cannot guarantee its absolute security.
The following information submitted via ncnw.org is not encrypted or protected via the Secure Sockets Layer protocol: mailing list, tell-a-friend, submit an article, submit an event, submit a press release, request a roster, change of address, bad address, name change, deceased, phone number change/addition, email change/addition. These forms are submitted via email. Therefore, any personally identifiable information, such as your name, e-mail address, or phone number, may be viewed by third parties on the Internet.
Notification of Changes
If we decide to change our privacy policy, we will post our changes to our privacy statement and Web site. We will also send this announcement to all our mailing list subscribers and to existing clients to ensure that they know what information we collect, how we use it, and under what circumstances, we disclose it.
